Writing a Professional Cover Letter

A cover letter is your personal introduction to a potential employer. It's your chance to shine, explain why you're the perfect fit for the role, and convince them to read your CV. Think of it as the precursor to your CV – it should enhance the employer's eagerness to learn more about you and your abilities.

 

Key Points:

 

  • Tailor it to the job: Never send a generic cover letter. Research the company and the specific role. Mention keywords from the job description to show you've read it carefully.

  • Highlight key skills and experiences: Your CV lists your achievements. The cover letter explains why those achievements are relevant to this particular job.

  • Expand on your strengths: If your CV briefly mentions a project, use the cover letter to elaborate on your role, contributions, and positive outcomes.

  •  Explain your motivation: Why are you interested in this company and this specific role? What excites you about the opportunity?

  • Address any gaps in your employment: If you have any gaps in your employment history, briefly explain them in the cover letter (e.g., career break, travel, further education).

 

Professional Layout:

 

  • Clear and concise: Aim for a one-page cover letter.

  • Professional font: Use a clear and easy-to-read font like Arial, Calibri, or Times New Roman.

  • Consistent formatting: Use bullet points, line spacing, and headings to improve readability.

  • Contact information: Include your full name, phone number, email address, and LinkedIn profile (optional).

  • Date: Include the date you are writing the letter.

  • Salutation: If possible, address the letter to a specific person (e.g., "Dear [Hiring Manager Name]"). If you cannot find a name, use "Dear Hiring Manager".

  • Professional closing: End with "Yours sincerely" if you know the recipient's name or "Yours faithfully" if you do not. You can also use “Regards” for both contexts.

  • Proofread carefully: Ensure your letter is free of any grammatical errors or typos.

 

Length:


  • Aim for one page (around 300-400 words).

  • Keep it concise and to the point.

 

What to Avoid:

 

  • Generic phrases: Avoid clichés like "I am a highly motivated and hardworking individual."

  • Negative language: Never mention anything negative about your previous employers or colleagues.

  • Overconfidence: While confidence is key, avoid sounding arrogant or boastful.

  • Focusing solely on your needs: The cover letter should focus on how you can benefit the company, not the other way around.

  • Plagiarism: Never copy and paste from other cover letters or job descriptions.

 

Structure:

 

  • Salutation: "Dear [Hiring Manager Name],"

  • Opening Paragraph: Briefly state the position you are applying for and where you saw the job advertisement. Express your enthusiasm for the role and the company.

  • Second Paragraph: Highlight 2-3 key skills and experiences that make you a strong candidate. Use specific examples to support your claims.

  • Third Paragraph: Expand on your motivation for applying. Explain why you are interested in this particular company and what excites you about the opportunity.

  • Closing Paragraph: Reiterate your interest in the position and thank the hiring manager for their time and consideration.

  • Closing: "Yours sincerely / Kind Regards"

  • Your Name (First name and the Surname)
